Roles and permissions determine what each user can do, such as building guides, creating segments, or managing settings. Assigning the right roles ensures your team has the access they need to support onboarding, analytics, and in-app messaging, while helping you maintain control and prevent unwanted changes.
Prerequisites
You must be a subscription admin to invite, edit, or remove users and to manage roles and permissions.
User types
There are two user types:
- Subscription admins. They have full access to the account. They can invite, edit, and remove users; manage roles, permissions, and guide themes; and, if contracted, create API integration keys. Subscription admins can’t edit their own roles.
- User. Their access depends on assigned app-level roles. Everyone has the Viewer role by default, which allows viewing metrics, creating segments, and running reports. When adding a user, you'll assign one or more app-level roles that define what they can do. Data visibility can't be limited by role.
Note: Subscription admins are automatically granted all permissions, so app-level roles can't be assigned to this user type.

Invite a new user
- In the top-right corner, go to Settings > Users.
- Select Users.
- In the top-right, select + Invite Users.
- Enter the email address for the user you want to add.

Choose the user type:
Subscription Admin permissions (grants full access)
User Permissions (assign roles at the app level)
- If assigning User Permissions:
- Choose the applications
- Select one or more roles (for example, Guide Creator or Tagging Editor)
- To learn more about a role, hover over it.
- Select Invite Users.
Resend an invitation
When you invite a user, they receive an email with a link to accept the invitation. If the invitation isn't accepted within 72 hours, it expires. You can resend it by repeating the steps to Invite a new user.
To check the status of an invitation, go to Settings > Users and review the Last login column. If the invitation wasn’t accepted, you’ll see Invite expired.
Note: Ask your IT team to allow emails from "no-reply@pendo.io" so they don’t get filtered to spam.
Edit or remove user permissions
You can update a user’s role or permissions at any time from the Users page.
- In the top-right corner, go to Settings > Users.
- Find the user you'd like to edit or remove.
- To update permissions, select Edit, then adjust roles or switch between Subscription Admin and User.
- To remove the user, select the trash can icon.
- Select Save changes.
